Answer first
TL;DR
Workiz leads this shortlist for documented plan templates, recurring visits, billing cycles and renewal controls. Housecall Pro describes customizable HVAC plans and online renewals. FieldEdge emphasizes agreement oversight across service territories, while ServiceTitan connects equipment-based agreements with cost tracking. Compare remaining visits and billing separately, and confirm the module included in each quote.
Scored shortlist
Quick comparison
| Rank | Provider | Best for | Score | Standout feature | Public entry price |
|---|---|---|---|---|---|
| 01 | Workiz | HVAC teams wanting configurable plans tied to visits and invoices | 10.0/10 | Plan templates with visit counts, billing intervals and renewal settings | Confirm the package with Service Plans |
| 02 | Housecall Pro | HVAC businesses wanting customer-facing renewals and recurring billing | 9.0/10 | Online plan changes paired with flexible autobilling intervals | Confirm Service Plans access and package price |
| 03 | FieldEdge | Multi-truck HVAC businesses tracking expiring agreements | 8.5/10 | Central oversight of renewal, billing and scheduled-visit dates | Custom quote |
| 04 | ServiceTitan | HVAC teams comparing agreement costs with equipment-specific scope | 8.3/10 | Budgeted versus incurred labor and material costs for agreements | Custom quote |
Scores describe documented buying fit. They are not customer ratings or independently measured performance. A 10 means all checks have direct public support. It does not imply flawless service.
Research notes
What makes HVAC maintenance agreements a separate purchase?
A membership creates obligations beyond the next appointment. The office needs to know the covered equipment, customer benefits, payment schedule, unused visits and renewal decision. Scheduling alone does not answer those questions.
Housecall Pro, FieldEdge, ServiceTitan and Workiz qualified because their public material describes service agreements or recurring maintenance plans for field-service businesses serving HVAC. All are broader operating platforms. This comparison focuses on membership administration. An existing system may already cover that requirement.
Before comparing subscriptions, list the agreements already sold. If their wording differs, the implementation must preserve those differences or document an approved change. A new template should not silently replace an existing customer's benefits. For the separate sales process around new equipment, see the HVAC replacement-sales comparison.
Product analysis
What does the public evidence support?
Each entry separates provider documentation, editorial analysis, buyer fit, and remaining verification work.
Workiz
Best for: HVAC teams wanting configurable plans tied to visits and invoices
Workiz publishes a detailed plan setup and visit-management workflow, making it the strongest documented fit under this method.
Pros
- Visit entitlements and optional automatic renewal are explicitly described.
- Plan records connect with scheduling, invoices and customer profiles.
Cons
- Automatic payment capture was not established by the reviewed source.
- The final subscription and Service Plans entitlement need confirmation.
Research and pricing details
The Service Plans documentation describes templates containing visit frequency, duration, discounts and billing intervals. Enrolled plans generate visits and invoices. The client portal shows plan details, upcoming visits and payment history. Invoice generation should not be mistaken for a verified automatic-payment workflow.
Pricing: Request the package price with Service Plans activated, including any payment-processing charges. No plan-specific entry fee was verified.

Housecall Pro
Best for: HVAC businesses wanting customer-facing renewals and recurring billing
Housecall Pro is a clear candidate when customer self-service and recurring collection are the main membership requirements.
Pros
- Recurring payment intervals are expressly documented.
- Customers can view and renew plans online.
Cons
- An outstanding-maintenance-visit report was not established by the reviewed page.
- The named feature does not resolve the final subscription entitlement.
Research and pricing details
Its HVAC agreement page describes customizable benefits, scheduled maintenance and monthly, quarterly or annual autobilling. Customers can view, renew or change plans online. The office should still check how unused visits and plan changes appear in its own reports.
Pricing: A 14-day trial is advertised. Confirm the paid package, Service Plans availability and payment fees before comparing ongoing cost.

FieldEdge
Best for: Multi-truck HVAC businesses tracking expiring agreements
FieldEdge puts agreement oversight front and center, particularly for office teams tracking renewals across service territories.
Pros
- Expiring agreements and recurring payment options are documented.
- Equipment history and agreement oversight share a platform.
Cons
- The reviewed product page does not show the available custom plan fields.
- Pricing and feature entitlement require a quote.
Research and pricing details
The field-service feature page describes a centralized agreement dashboard, expiring-contract visibility, recurring payments and automatic renewals. Equipment records sit in the broader platform. Request a demonstration using the company's agreement variations.
Pricing: Request a scoped demo and quote. Include agreement migration, users and payment requirements in the comparison.

ServiceTitan
Best for: HVAC teams comparing agreement costs with equipment-specific scope
ServiceTitan adds cost visibility to equipment-based agreements, but the exact recurring-payment and due-visit reports need a closer demonstration.
Pros
- Agreement proposals can include equipment, locations and cost details.
- Budgeted and incurred agreement costs are explicitly described.
Cons
- The exact recurring collection workflow was not verified.
- Due-visit reporting needs a product demonstration beyond the customer example.
Research and pricing details
Its agreement product page describes customer-specific equipment, locations and terms, automated renewals and budget-versus-incurred cost tracking. A customer example discusses due-visit visibility. That vendor-published example does not establish the report specification or a retention improvement.
Pricing: Request a quote for the required agreement workflow and confirm implementation, reporting and payment modules.

Research notes
How should an HVAC office test membership administration?
Use a fictional agreement with more than one visit entitlement. Record which equipment is covered, which benefits apply and when the agreement expires. Ask the vendor to show how a dispatcher sees that information without rereading a contract attachment.
Then separate three events: a customer payment, a scheduled visit and a completed visit. Confirm what each event changes. A collected payment should not, by itself, be treated as evidence that maintenance was performed. The office needs a clear view of obligations still outstanding.
Test a reschedule, a failed payment and a requested plan change in an authorized evaluation account. Check the staff notification and the customer-facing message. Do not enable customer payment collection or renewal notices during an exploratory demonstration.
For migration, ask for a sample export and reconciliation report. Compare active plans, expiration dates, covered systems and remaining entitlements with the source records. Sign off on the import only after exceptions have been resolved. Rankings Desk has not completed these suggested purchase checks.
Frozen method
How were HVAC agreement platforms scored?
Agreement setup receives 30%; Recurring operations receives 30%; Renewal control receives 25%; Evaluation access receives 15%.
| Criterion | Two equally weighted checks |
|---|---|
| Agreement setup | Custom HVAC membership terms or plans; Equipment, benefits, or visit entitlements |
| Recurring operations | Recurring maintenance scheduling; Recurring billing or automatic payment |
| Renewal control | Renewal action or reminder; Membership status or outstanding visit reporting |
| Evaluation access | Public trial or demo; Scoped pricing or named required module |
Each check earns 5 for direct public support, 2.5 for partial support and zero for missing or unresolved documentation. Each criterion totals up to 10. A documentation gap does not prove a missing private capability.
| Provider | Agreement setup | Recurring operations | Renewal control | Evaluation access | Exact total |
|---|---|---|---|---|---|
| Workiz | 10 | 10 | 10 | 10 | 10.000 |
| Housecall Pro | 10 | 10 | 7.5 | 7.5 | 9.000 |
| FieldEdge | 7.5 | 10 | 10 | 5 | 8.500 |
| ServiceTitan | 10 | 7.5 | 7.5 | 7.5 | 8.250 |
The unrounded weighted score determines order. Ties use the first criterion, then alphabetical provider name. The candidate universe and checks were frozen on September 5, 2026 for service-listicles-1.0.
Evidence limits
Research limitations
Public product documentation supports the offered functions. Billing reliability, contract profitability and retention results remain untested. Customer stories remained vendor-reported and received only partial support where product detail was missing.
No private account, agreement import or payment processor was tested. Pricing for the exact membership workflow remains quote-dependent. A low transparency score can reflect an unresolved public detail without establishing whether the private capability is available.
Buyer questions
Frequently asked questions
Can HVAC customers renew maintenance plans online?
Housecall Pro explicitly describes online renewal and plan changes. Workiz describes a portal for plan information and requests. Ask each vendor to show which actions are self-service and which create a staff task, especially when the requested change affects existing benefits.
Can HVAC agreement software support monthly billing?
Housecall Pro documents monthly, quarterly and annual autobilling. Workiz documents configurable billing intervals and invoices, but this review did not verify automatic capture. Confirm payment authorization, failure handling and fees through the proposed setup; invoice generation alone does not establish automatic payment.
Can an HVAC membership include a fixed number of visits?
Workiz expressly describes a visit count in its plan templates. During evaluation, verify how a completed visit reduces the remaining entitlement and what happens after a cancellation or reschedule. Ask for a record that shows the remaining obligation after each completed visit.
Is maintenance agreement software the same as field-service software?
Agreement management can be a feature of a broader operating platform. This shortlist contains that type of product. Compare the incremental agreement capability and migration effort before deciding to replace scheduling, customer records or other systems that already work.
